CPanel Email Problems
Introduction
Even with a control panel as user-friendly as cPanel, mail issues pop up now and then — problems sending, receiving, or messages getting flagged as spam. Below are the most common ones, along with direct, practical fixes that’ll save you time and keep you from losing anything important.

1. Not Getting New Mail
Possible Causes
- Mailbox storage is full.
- Something’s off with the domain’s MX record.
- Messages are being classified as spam and routed elsewhere.
Fix
- Check your storage usage under Email Accounts and bump the quota if needed.
- Confirm your MX record is correct in Zone Editor — it should point to your actual mail server.
- Check the Spam folder in Webmail in case messages are landing there by mistake.
2. Outgoing Mail Won’t Send
Possible Causes
- Wrong SMTP settings in your mail client.
- “Authentication” isn’t turned on.
- You’ve hit your plan’s daily sending limit.
Fix
- Double-check your SMTP settings (server, port, encryption) via Connect Devices.
- Enable “My server requires authentication” in your mail client.
- Check the Email Deliverability log, or ask your host whether you’ve exceeded your sending limit.
3. Outgoing Mail Lands in Recipients’ Spam Folders
Possible Causes
- Missing or incorrect SPF, DKIM, or DMARC records.
- Suspicious wording or links in the message content.
- Poor IP reputation with major mail providers.
Fix
Check our article on email security (SPF, DKIM, DMARC) to make sure your records are configured properly, and steer clear of over-the-top phrasing like “100% Free!!!” or sketchy shortened links.
4. Forgotten Mailbox Password
Fix
- Log in to cPanel using your main hosting account — not the mailbox itself.
- Open Email Accounts.
- Next to the relevant account, click Manage, set a new password, and save.
5. Mailbox Storage Filling Up Too Fast
Fix
- Delete old messages and any unnecessary large attachments.
- Empty Sent and Trash regularly.
- Increase the quota from the Email Accounts page if your plan allows.
- If you’re on POP3, archive old messages locally instead of leaving them on the server.
6. Can’t Connect via Outlook or Thunderbird
Fix
- Make sure the username is the full email address, not just the part before the @.
- Confirm the server and port match exactly what’s shown on the Connect Devices page.
- Check that your device’s firewall isn’t blocking the mail ports in use.
FAQ
Usually a full mailbox or an MX record issue — check both first.
Check the Email Delivery Reports log in cPanel for the status of each message and the reason for any delay.
If Trash hasn’t been emptied yet, you can restore it from there directly. If it’s gone, ask your host whether it can be recovered from backups.
Make sure you’ve emptied Trash too — deleted messages still count against your quota until that folder is cleared.
Yes — just re-add the account in your mail client and pick IMAP instead. Keep in mind messages already pulled down and removed via POP3 might not reappear.
